  1. Kevin Stephens Design Group, Inc. has an initial conversation with the potential client regarding the scope of work.
  2. Kevin Stephens Design Group, Inc. has a site meeting with the potential client to revisit the scope of work. The client has plot plan and base drawings (property dimensions plus structure dimensions) ready for the meeting.
  3. Kevin Stephens Design Group, Inc. drafts a contract to email to the client. The client signs the contract and mails it back along with a start-up check.
  4. Kevin Stephens Design Group, Inc. contacts the project’s architect and or civil engineer to obtain electronic base drawings.
  5. The AutoCAD drawing from architect or civil engineer or the printed plan scanned as a .tif file is saved in the job file and sent to the CAD drafter to create a base plan. If there is no base plan available from a project architect or engineer, Kevin Stephens Design Group, Inc. will create a base plan in AutoCAD from site measuring and the plot plan on file with the local municipality.
  6. When the base plan is complete, the drafter saves it back to the server.
  7. Kevin Stephens Design Group, Inc. performs a site analysis by taking digital photos and bringing the base plan to add (hand draws) all important existing site details to the base plan.
  8. The digital images are downloaded to the job file and the additional details are added to the site plan by the CAD drafter and saved back to the server.
  9. The base plan is re-plotted.
  10. Kevin Stephens Design Group, Inc. hand draws a schematic design on a tracing paper overlaid on the CAD base plan.
  11. Kevin Stephens Design Group, Inc. has a schematic plan meeting with client for comments.
  12. Kevin Stephens Design Group, Inc. hand draws additional changes including the client comments and adds general notes (i.e., spa here, pool, cobble stone path, etc.).
  13. The CAD drafter combines the revised hand drawn schematic plan and general notes into an AutoCAD drawing known as a preliminary plan.
  14. The completed CAD drawing is sent to the client for review and to sign off on beginning construction documents.
  15. The client is invoiced for the schematic design / preliminary design phase of the project.
  16. construction documents (CDs) are completed which can include:
    1. grading notes and details (by civil engineer)
    2. irrigation plan (by irrigation designer)
    3. irrigation notes and details (by irrigation designer)
    4. lighting plan
    5. lighting notes and details
    6. furniture schedule
    7. window treatment schedule
    8. art schedule
  17. The client is invoiced for construction documents.
  18. Kevin Stephens Design Group, Inc. creates a bid form that is sent to bid with contractors.
  19. Kevin Stephens Design Group, Inc. reviews the bids with the client and a contractor is chosen.
  20. The client signs a contract with the selected contractor.
  21. Kevin Stephens Design Group, Inc. does a site inspection to inspect the form work for the hardscape onsite prior to the hardscape being installed.
  22. Kevin Stephens Design Group, Inc. does a site inspection to approve the plant material specimens and the plant spacing.
  23. Kevin Stephens Design Group, Inc. does a site inspection to approve the quality and spacing of furniture, window treatments, and art at delivery.
  24. The client is billed for construction administration (CA). CA work is billed hourly and once a month. All other portions of the project are billed as fixed fees. If the scope of work is increased after a contract is signed, an additional services agreement will be drafted and sent to the client for their approval and the client needs to sign the additional services agreement and return the signed copy to Kevin Stephens Design Group, Inc. before the additional work is commenced.
  25. The built project is photographed for the firm's portfolio.
  26. The client is billed for construction administration (CA). CA work is billed hourly and once a month. All other portions of the project are billed as fixed fees.
